SAP Add-On: Capturing Inbound and Outbound Processes with Photos

Array

A Dutch metalworking company specializing in surface treatment wants to better align inbound and outbound flows by loading transports in the same way.

By capturing inbound orders with photos, outbound shipments can later be loaded in exactly the same manner, and completeness can be checked more quickly. The photos are taken using an iOS (Apple) or Android phone.

Objective

  1. Detailed Recording: The company wants to implement a system capable of detailed registration with photos of inbound and outbound goods, including condition, packaging, and sequence.
  2. Visual Documentation: By extending the system with photos, they aim to provide visual documentation for accurate checks and quick detection of discrepancies.
  3. Enhanced Transparency: Both the internal team and customers should have access to the records and photos, making the process highly transparent and building trust.

Solution

The company implemented an advanced registration system enhanced with photos for both inbound and outbound processes. Here’s how it works:

  1. Integration with SAP: Orders are pulled directly from SAP, ensuring only open orders can be registered.
  2. Inbound Registration with Photos: Upon receipt, goods are registered in the system along with detailed information such as supplier data, product descriptions, and quantities. Photos are taken from multiple angles to accurately document the condition and packaging.
  3. Outbound Registration with Photos: Before shipment, goods are registered in the system with destination data and shipping instructions. Photos are taken to document the condition and packaging, using previously captured photos as a reference for loading.
  4. Access for Internal Team and Customers: Both the internal logistics and production team, as well as customers, have access to the registration system via a secure online platform, allowing them to view detailed records and photos. This increases transparency and enables quick resolution of any questions or discrepancies.
  5. Dashboards: Various dashboards display relevant production statuses. Optional alert systems are available via email or WhatsApp.

Results

Thanks to this internal Track & Trace system, the company can accurately monitor the progress of materials through all stages of processing, via web, mobile, or scanner, as well as dashboards.

This not only improves visibility and process control but also provides greater flexibility for complex process sequences.

Customers benefit from increased efficiency and service, as they can track the progress of their materials and stay informed of any changes or delays. Internally, processes run much more smoothly.
