Mendrix Add-On: Informing External Drivers About Transports

Array

A transport company faced the challenge of streamlining communication and task registration for external drivers.

Giving external drivers access to their TMS (Mendrix) is not an option, as these external drivers do not want to work across multiple systems. Additionally, extra users incur additional costs, which is impractical for one-off activities.

They understood that a direct and simple way to assign and manage tasks is crucial for maintaining operational efficiency. Therefore, they decided to develop an extension for their Transport Management System (TMS) that directly notifies external drivers of their tasks and allows them to easily register tasks without complicated login procedures.

Objective

  1. Real-time Communication: The company wanted a system that directly notifies external drivers of their tasks via their mobile devices.
  2. Simple Task Registration: Drivers must be able to easily register and update tasks, including signing off deliveries and returning the CMR document, without complex login procedures.
  3. Increased Operational Efficiency: By streamlining task registration, the company aims to improve operational efficiency and accurately track transport assignments.
  4. Full Integration with the Existing TMS: The system should function as if the external driver updates their information directly in the TMS.

Solution

The company developed an extension for their existing TMS, allowing external drivers to communicate and register tasks directly. Here’s how it works:

  1. Task Notifications via Mobile Phone: External drivers automatically receive notifications on their mobile devices (via email or WhatsApp) whenever new tasks are available. These notifications include all necessary details, such as pick-up and delivery locations, delivery instructions, and required documents.
  2. Simple Task Registration: Drivers can easily view and complete assigned tasks via the mobile app without logging into a separate system. Tasks can be marked as completed once delivered, including filling out and returning the CMR document.
  3. Real-time Status Updates: Once a task is completed, the status is automatically updated in the TMS, giving the internal logistics team real-time insight into transport progress.
  4. Delay Alerts: If a status is not updated on time, a reminder is sent to update the ETA, ensuring the entire chain remains correctly informed.

Results

Thanks to the TMS extension, external drivers can be directly informed about their tasks and easily register them without complex login procedures.

This leads to improved operational efficiency, accurate tracking of transport assignments, and smoother communication between internal and external teams.

By streamlining task registration, the company can optimize its logistics processes and maintain a high level of customer service.
