SAP Add-On: Capturing inbound and outbound with photos

Photo registration with SAP

A Dutch company specializing in metal processing and surface treatment wants to better align incoming and outgoing flows by loading transports in the same way.

By capturing incoming orders on photos, outgoing transport can be loaded in exactly the same way later, allowing for quicker completeness checks. The photos are taken with an IOS (Apple) or Android phone.

Goal

  1. Detailed Registration: The company aims to implement a system capable of detailed registration with photos of incoming and outgoing goods, including their condition, packaging, and sequence.
  2. Visual Documentation: By expanding the system with photos, they aim to provide visual documentation to enable accurate inspection and quickly identify any discrepancies.
  3. Improved Transparency: Both the internal team and the customers should have access to the registration and photos, making the process highly transparent and building trust.

Solution

This company has implemented an advanced registration system that has been expanded with photos for both inbound and outbound processes. Here’s how it works:

  1. Integration with SAP: Orders come directly from SAP, so only open orders can be registered.
  2. Inbound Registration with Photos: When goods arrive, they are registered in the system along with detailed information such as supplier details, product descriptions, and quantities. At the same time, photos are taken of the received goods from various angles to accurately capture their condition and packaging.
  3. Outbound Registration with Photos: Before goods are dispatched, they are also registered in the system, including destination details and shipping instructions. Photos are taken to document the condition and packaging of the goods before they are dispatched. The previously taken photos serve as examples of the loading method.
  4. Access for Internal Team and Customers: Both the internal logistics and production team and the customers have access to the registration system and can view the detailed registration and photos through a secure online platform. This increases transparency and allows any questions or discrepancies to be quickly resolved.
  5. Dashboards: Various dashboards are available indicating relevant production statuses. Optionally, alert systems are available via email or WhatsApp.

Result

Thanks to this internal Track & Trace system, this research company can accurately monitor the progress of materials through all stages of processing. Not only through the web, phone, or scanner, but also via dashboards that are installed.

This not only provides improved visibility and control over the process but also more flexibility for complex process sequences.

Customers benefit from improved efficiency and customer service, as they can track the progress of their materials and be informed of any changes or delays. Internally, the process runs much smoother.
