Sharing Transport Orders
A transport company faces the challenge of streamlining communication and task registration for external drivers.
Giving external drivers access to their TMS (Mendrix) is not an option, as these drivers do not want to work with multiple systems. Additionally, extra users incur additional costs, which is impractical for one-time activities.
They understand that a direct and simple way to assign and manage tasks is crucial to maintaining operational efficiency. Therefore, they have decided to develop an extension for their Transport Management System (TMS) that will notify external drivers of their tasks and allow them to easily register tasks without the hassle of complex login procedures.
Goal
- Real-time Communication
The company wants to implement a system that allows external drivers to be immediately notified of their tasks via their mobile devices. - Simple Task Registration
Drivers should be able to easily register and update tasks, including signing off on deliveries and returning the CMR document, without complicated login procedures. - Increased Operational Efficiency
By streamlining task registration, the company aims to improve operational efficiency and ensure accurate tracking of transport orders. - Full Integration
The system will fully integrate with the company’s TMS as if the external driver were updating the information directly.
Solution
The company has developed an extension for their existing TMS that allows external drivers to communicate directly and register tasks. Here’s how it works:
- Task Notifications via Mobile Phone
External drivers automatically receive notifications on their mobile devices (via email or WhatsApp) as soon as new tasks are available. These notifications contain all necessary details, such as pickup and delivery locations, delivery instructions, and required documents. - Simple Task Registration
Drivers can easily view and handle the received tasks through the mobile app, without needing to log into a separate system. They can mark tasks as completed once delivered, including filling out and returning the CMR document. - Real-time Status Updates
As soon as a task is completed, the status is automatically updated in the TMS, providing the internal logistics team with real-time insight into the progress of transport orders. - Delay Alerts
If a status is not updated on time, a reminder is sent, requesting the ETA to be adjusted so that the supply chain is accurately informed.
Result
Thanks to the TMS extension, external drivers can be directly informed about their tasks and easily register tasks without complicated login procedures.
This leads to improved operational efficiency, accurate tracking of transport orders, and smoother communication between internal and external teams.
By streamlining task registration, the company can optimize its logistics processes and maintain a high level of customer service.
